Three ways to run appointments — and the real difference
Almost every booking system comparison is a feature table where everything looks identical. The real difference is not in the list; it is one question: who answers the client, and when.
The three approaches
| Approach | WhatsApp alone | A classic booking system | An AI agent on WhatsApp |
|---|---|---|---|
| Who answers the client | You, when you are free | Nobody — the client fills a form | The agent, instantly, any hour |
| When the booking closes | Whenever you get to it | When the client opens the page | Within seconds of the message |
| Typical monthly cost | Free (in your time) | ₪50–300 | ₪59–399 |
| Best suited to | Up to ~40 appointments a month | Clients who know exactly what they want | Businesses where most enquiries arrive on WhatsApp |
When is WhatsApp alone enough?
If you answer "do you have space on…?" once or twice a week and you know off the top of your head what tomorrow looks like, you do not need to pay for anything, and no system will meaningfully improve that. That is the honest answer even though it does not suit us. The point where it changes is usually around 40–60 appointments a month, when the calendar stops being something you can hold in your head.
When is a classic booking system the right call?
When most of your clients arrive ready: they know which service they want, they are used to booking through a page, and most enquiries are not questions. In that case a good booking page does the job and there is no reason to add an AI layer on top. That is especially true for businesses with a small, unambiguous service catalogue and repeat clients.
When does an AI agent change the picture?
When most enquiries start as a question rather than an order — "what would suit me?", "how long does it take?", "any space this week?" — and when they arrive at hours you are working or asleep. A booking page answers none of those, and the client goes back to WhatsApp anyway. That is the situation for most appointment businesses, which is why we built this approach.
What an AI agent does not solve
It is fair to state the other side too. An agent does not replace professional judgement, and it should not be giving medical advice or recommending a treatment — which is why you can define topics where ours stays silent and hands off to you. It also does not solve a demand problem: if the enquiries are not coming, response speed will not help. And for a business already running well on a booking page with disciplined clients, the marginal gain is small.
Seven questions worth asking any vendor
- What is the full price in a year, at the headcount I plan to have?
- Is there a setup fee, and if so what exactly is it for?
- Are reminders included, or billed separately per message?
- What happens when a client sends a free-form message at 11pm?
- How do I export all my clients and appointments if I decide to leave?
- What exactly do I lose if I stop paying — everything, or does something remain?
- Is there an annual commitment or an exit fee?
Our answers to those seven
The price does not change with headcount; there is no setup fee; reminders are included (they go over WhatsApp from your own number, with no per-message charge); the agent replies at 11pm in whatever language the client wrote in; your data can be exported and deleted from the dashboard; if you stop paying, the booking page, calendar and dashboard stay free and only the agent pauses; and there is no annual commitment and no exit fee.
